This Bookkeeping/Accounting Specialist will perform essential accounting duties, including transaction processing, financial record maintenance, and reconciliation of accounts. This hybrid opportunity (in office and remote) requires accuracy, attention to detail, timeliness and proficiency in QuickBooks Online.
Responsibilities
- Implement, manage, and maintain accurate financial records in QuickBooks Online.
- Reconcile bank and credit card accounts.
- Process accounts payable and receivable.
- Enter and track expenses
- Prepare monthly financial reports and assist with budgeting.
- Oversee payroll processing and maintain related documentation.
- Support external accountants with tax preparation and filing processes.
- Ensure compliance with financial and tax regulations.
- Pay any state sales taxes that may become due and file Florida state sales tax reports quarterly.
- Perform general office management tasks, such as ordering supplies and maintaining organizational systems including reorganizing files and keeping them up to date.
- Monitor and update financial records, including vendor accounts and credit applications.
- Assist with financial audits and reporting as required.
- Prepare and send invoices to customers.
- Provide administrative support, including handling phone inquiries and maintaining office inventory.
- Other duties as assigned by the Chief Executive or Financial Officer.
Preferred Qualifications
- Proven experience as a full charge bookkeeper, assistant controller, or office manager.
- High proficiency in accounting principles, financial management and QuickBooks Online.
- Familiarity with state and federal tax regulations (preferred).
- Strong attention to detail and organizational skills.
- Ability to work independently and manage multiple tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office 365 (Word, Excel, Outlook) and SharePoint.
- Professional demeanor and customer service orientation.
Required Qualifications
- High school diploma or equivalent; an accounting degree is preferred.
- Minimum of 7 years of hands-on practical accounting experience.
- Knowledge of accounts receivable, accounts payable, and advanced bookkeeping principles.
- Strong mathematical skills and proficiency with 10-key data entry.
- Ability to handle confidential financial information with discretion.
- Ability to work independently and maintain accountability.
- Must be honest, diligent and highly organized

- Work Schedule: Part-time role with flexible hours (15-25 hours per week), with potential for full-time transition at a later date ( if interested).
